 Our company offers three levels of services depending on your needs:

Tenant Placement: Advertise Properties: We market your properties extensively, including listings on the MLS, in-person showings, tenant screening and prepare the Move-In Package.
The Diplomate:  Accounting Only: We focus solely on rent collection, accounting, and lease enforcement. We do not take calls from tenants regarding repairs, setting up appointments, or maintenance.
The Ambassador: Focus on Tenant and Property: We address emergency repairs, utilities, and other issues to maintain the quality of your property and tenant satisfaction.

Timeless Real Estate Services, founded and headed by Sheila Barrett, provides a number of services in order to meet the demands of the ever changing real estate market. We provide a common sense approach to managing rentals. Other services include short sales, estate sales and Broker Price Opinions.

 Timeless Real Estate Services operates primarily in Louisville, Kentucky and surrounding areas. 

Our Rental Application Process

Rental Application Process The more information you submit, the faster your application will be processed. ALL adults must be listed on your application.
  • Turnaround time: 3-5 days (longer if we are unable to obtain rental verification).
  • Application Status Inquiries: Send extra documentation or check the status via [email protected].
Application Fee $35 per applicant (Non-refundable) Background Checks Your information is submitted to a third-party service and takes 1-2 business days to process. Income Verification MUST BE VERIFIED – We require:
  • Last paycheck stub or computer printout from your employer showing Year-To-Date income.
  • Employer and applicant’s name must be visible.
  • W2 or last paycheck stub from the previous year showing year-to-date.
If you cannot provide written proof of income or a W2 for a year or more, DO NOT submit an application.
We DO NOT ACCEPT employer letters or bank statements. Monthly Income Requirements
  • Household NET income must be 2.5x the monthly rent for at least a year.
    • (Example: Rent $900 x 2.5 = $2250 Net Pay per month)
  • We divide your year-to-date income by months worked to calculate your average monthly income.
  • If you have not worked a FULL year, you do not qualify.
  • Section 8 Applicants: Include your voucher with your application.
Landlord Verification
  • Provide correct landlord phone numbers and emails for the past 2-5 years.
  • We verify current and past landlords through cross-referencing databases and direct communication.
  • Falsification of information results in automatic rejection.
No Rental History
  • You may be required to pay a larger deposit or have a co-signer.
  • Please ask before submitting an application for a specific unit.
Credit Check
  • We review your credit but do not base approval on a credit score.
Eviction Policy
  • No evictions within the past 3 years (even if the balance was paid or dismissed).
Co-Signer Policy
  • May be considered for certain units.
  • Not accepted if the applicant does not meet the income requirement.
  • Please ask before applying for a specific unit.
Section 8 Applicants- (If a unit accepts Section 8, it will be clearly stated in the advertisement. If it’s not listed, the property does not participate)
  • Must fill out an application.
  • Background check and reference verification required.
  • MUST provide your voucher with your application.
Pet Policy
  • Pet-friendly units will be specified in the listing.
  • Generally, pets must be under 35 lbs and not classified as aggressive breeds.
  • Non-refundable pet fee: $250.00
Unit Availability & Transfers
  • If the unit you applied for is unavailable, your application remains valid for 1 year for other available units.
  • We may request updated financial documentation.
  • For application updates, email [email protected].
Communication & Office Information
  • We contact applicants via email for questions, supporting documents, and approval notifications.
  • Our physical office has been closed since the pandemic, though outdated addresses may still appear online.
