As a member of FARPM (Florida Assoc. of Residential Property Managers) and National Association of Realtors designations including PRM (Professional Residential Manager), our property manager, Lorrie Lovett, is well qualified for the job! With over 17 years’ experience, her goal is to provide a service that is efficient, effective and reliable. Showing efficiency and dependability, coupled with specialized training, means results for our property owners.

 At Property Management Experts LLC, we believe that communication is key to the success of any organization. Our service is called “Property Management” however; it should really be called “People Management”.  Much of our work is centered around our staff successfully communicating with property owners, tenants, contractors, creditors, insurers, attorneys, code enforcement, planning and zoning and homeowner associations—just to name a few. Working with people in property management requires open communication at all times. We believe that the personal relationships that we have developed over the years will keep us on top of our profession.

Our “Rental Marketing Plan” uses various means to promote your vacant property to thousands of prospective renters. Our listings also upload to several other familiar sites such as www.trulia.com, www.zillow.com,  and www.hotpads.com. At the owner’s request, we can also create flyers for each property to go along with our attractive yard signage. Many Realtors, current and past tenants, and current and past Landlords have also referred renters our way. They already have experienced our spectacular service and enjoy talking about their experience. Our owners should never have to worry about extended vacancies due to a lack of marketing.

 We Show Rental Properties 7 Days a Week

We average hundreds of prospective renter calls to our office each month. We realize that oftentimes renters seeking quality rental homes must have after hour or weekend appointments. We also realize that the management of rental properties does not stop at 5:00 PM. Our property manager is on call 24 hours a day to handle any situation for our owners and our tenants.

 

Superior Tenant Screening

In selecting the right tenants for your rental property, we believe that an ounce of

prevention is worth more than any cure. We want to safeguard that our property owners get the caliber of renters they deserve. That’s why we utilize a 6 Step Screening process on each and every adult rental applicant:

 

1. We pull national credit reports on each and every adult rental applicant.

2. We do a national “Criminal Background Check” on all adult applicants.

3. We do a national Pedophile inquiry to check for registered sex offenders.

4. We do a national “eviction search” for any previous evictions.

5. We do a verification of prior rental history for the last 2 known Landlords.

6. We do a verification of the applicant’s employment or income.

 

Because of our superior tenant screening process, most “rent-jumping” tenants (the tenants who don’t pay rent, damage properties, and then move out in the middle of the night) prefer to apply directly to property owners. That’s because these owners conduct the screening and management themselves without a professional and are not aware until it’s too late. Lease Preparation

An Attorney specializing in property management writes every lease between the Landlord and the Tenant for each property leased by Property Management Experts LLC. This protects the owner against liability that may arise due to incorrect wording or legal changes to the Landlord/Tenant Act laws. Our lease signings are conducted in person, at our office, for every property unless specific circumstances arise and other arrangements are made.

 

 

Rental Collections

Rent is due on the 1st of each month and is considered late by the 5th day of the

month. All tenants who have not paid by the 5th of the month receive a first notice, a friendly reminder, placing them on notice. We also attempt to reach them by phone. Any tenants who have not remitted their rent by approximately the 6th to 10th of the month will be served the legal prerequisite paperwork (a 3-day notice) to file an eviction against them. If needed, and at Landlord request, the initial filing of the eviction paperwork though the clerk of courts can be accomplished by the property manager. Any court fees due for this process are the responsibility of the owner and are payable by same prior to filing the claim.

NOTE: All of the above actions of service are provided at no additional cost to you. However, the Landlord will have to appear personally in court, if applicable.

 

 

Computerized Accounting

We can “direct deposit” your rent payments directly into your bank account!  Upon property owner’s request, an online portal can be activated that will allow unlimited access to the details of your account showing all rental income and disbursements. We also provide our property owners with a year-end summary statement to give to their tax accountant. Payments to vendors for recurring monthly obligations such as lawn care, pool maintenance, etc. can be provided as long as adequate funds are available in your account. We make property management easy for our owners!!

 

 

Property Inspections

The property condition is summarized upon move in, as well as pictures taken and kept on file. This procedure provides peace of mind for property owners who want to protect their investment, AND to tenants who want to facilitate the return of their security deposit. We inspect the exterior of our properties on a periodic basis and we also conduct other inspections upon request, or if we determine that checking the property is warranted before offering renewals. Within 90 days after the tenants move in, we contact them to ensure that all is well with your property and with them.

 

 

Property Condition Review upon move out

When the lease ends with the current tenant, we utilize the property summarization conducted upon the move-in period and any other inspection paper work on file and determine the following:

 

ü  Review how the tenant(s) complied with the terms of the lease agreement with

       regard to physical care of the property. Perhaps repairs need to be made and

       charged back to the tenant. (this does not include normal wear and tear)

 

ü  Determine any violation by tenants with regard to pets, yard maintenance, and                  excessive trash.

 

ü  Identify and correct any noticeable safety issues, which present potential liability for you, the property owner.

 

ü  Identify necessary maintenance/repairs not considered priority during tenancy but needed. These areas include any plumbing repairs or water damage, electrical repairs, carpeting or flooring repairs, caulking repairs, and other items as noted.

 

ü  Identify any potential capital improvement recommendations that the property owner will need for future consideration. This could include replacement of old and/or defective carpets/flooring, appliances, plumbing fixtures, HVAC, and/or cosmetic improvements.

 

As you can see, the property condition review provides you, the property owner, with a much larger overview of your investment property, than just maintenance and repair. There is no additional fee for this review.  We feel this is a valuable added service that

Maintenance Facilitation

Property Management Experts LLC assists our property owners and tenants by having

independent qualified licensed and insured technicians to take care of any necessary maintenance and repairs. For the smaller jobs, we have a licensed and insured handyman that is extremely knowledgeable and dependable. To avoid a conflict of interest with our property owners, we do not assess a surcharge to our property owners on any maintenance or repair items. We believe in passing these savings along to our customers. We ask that your tenants be responsible for any minor maintenance and repair up to $50.00 and to request all maintenance in writing. We have found this policy to prove successful in proper facilitation.

Leasing/Placement Fees

Leasing/Placement fees are for our services in connection with:

ü  Arranging, placement, recording and administering advertising and signage.

ü  Photographing your property for Internet advertising.

ü  Uploading photos and property information to the various Internet sites.

ü  Arranging and conducting showing appointments with prospective tenants.

ü  Keeping the property owner informed of showings and rental activity.

ü  Administering lease applications and processing applications for tenancy.

ü  Tenant screening via credit reports, eviction searches, criminal background, pedophile check, prior rental history and references, and employment verification of applicants.

ü  Negotiating the terms of the lease with prospective renters.

ü  Organizing the new lease agreement with attorney and processing items necessary for new residency.

ü  Conducting the lease signing in person with tenants, processing of lease, including general information and providing rules and tenancy regulations to new tenants.

ü  Processing of tenant’s initial move in funds with disbursement to owner.

 

 

Management Fees- What’s Included for Fees Paid?

Management fees are charged on a percentage basis as the rent is collected.

Management fees are for our services in connection with:

ü  Attending to daily telephone, email and fax inquiries.

ü  Timely rent collection.

ü  A property manager on call 24 hrs a day, 7 days a week, 365 days per year.

ü  Organizing keys for viewings, inspections, and repair vendors.

ü  Initiating payment to vendors for various property expenses.

ü  Lease enforcement with tenants.

ü  Hand deliveries of notices to tenants as necessary.

ü  Attending to correspondence.

ü  Organizing maintenance repairs and quotes.

ü  Administering rent through our trust account.

ü  Electronic funds transfer to your account.

ü  Supplying income/expense statements for property owners when requested.

ü  Preparing annual year-end income & expense statements and IRS 1099 Forms.

ü  Liaison with homeowner or condo associations when applicable.

ü  Facilitating utilities to be turned on and off when required.

ü  Conducting annual rent reviews.

ü  Periodic visual inspection at property manager’s discretion to ensure compliance.

ü  Processing notices to vacate or to renew at lease end

ü  Conducting move-in/move-out inspections.

ü  Prepare security deposit claims, when necessary, in accordance with the Florida        Landlord Tenant Laws, F.S. 83.

ü  Maintaining a professional office with the latest in technology and property management tools.

ü  Constant ongoing training and cutting-edge knowledge of our industry along with the Florida Landlord/Tenant Act, F.S 83
